Returning Guests: Registration Across Events

What carries over when the same guest attends multiple events: account vs event QR codes, registering across events, seeing past event photos, why a new client starts fresh, and whether you can see all events one attendee was in.

If you photograph recurring clients (corporate programs, schools, leagues, ongoing venues), you will see the same guests at event after event. This article covers what carries over for a returning guest, whether a guest will see themselves at past events under the same client, and whether you can look up all the events one attendee was in.

One QR code works across all your events

Your account-level self-spotting QR code (found under Main dashboard, Resources, QR Code (Self Spotting)) works across all of your events. When a guest scans it, the system routes them to the correct event based on which of your events is active at the time. This is why you can print it once on durable signage and reuse it everywhere. The account-level QR code is not available on SpotMyPhotos Go, which uses event-level QR codes only.

An event-level QR code (found inside the event under Tools & Settings, QR Code (Self Spotting)) is tied to that single event only. It spots guests within that event and nothing else.

Does one registration carry over to the next event?

Each event has its own registration window based on your plan (Pro is 30 days). See Guest Registration Window: When Can Attendees Claim Their Photos? for the exact windows.

Auto-spotting works for events under the same client. If a guest registers through your account-level self-registration QR code instead, they can be spotted for all of your active events.

Guests who registered and were spotted at an event keep access to that event's gallery after its registration window closes. What they will not see is photos from events where they were never spotted.

Will a guest see themselves in past events?

A guest sees photos from the events where they were actually spotted.

When a guest registers through the account-level QR code, they are spotted in both photos that are already uploaded and photos you add later, for your active events.

You can also give attendees a way to browse previous event photos from inside the current gallery. The Include Past Photos Link in Attendee Gallery toggle in the event's Advanced Settings adds a link so guests can view photos from previous events where they were spotted. A new client starts fresh

Registrations live under the client, not just your account. A newly created client does not inherit registrations from your earlier clients, and clients cannot be migrated or merged by moving events between them. Creating a second client with the same name splits your spotting history in two.

If you need a new event to connect with a client's past registrations, reactivate the original client if you can and create the new event under it, rather than creating a duplicate client. Not every archived client can be reactivated. If yours will not reactivate, contact support before creating a new one and we will help you keep the guest history together. A naming convention like "Client Name - Created 2026-03" helps you avoid accidental duplicates.

Can I see all the events one attendee was in?

No. There is currently no dashboard view or report that lists every event a specific attendee was spotted in. The Attendees tab is per event, and the event count shown on the attendees grid does not link to a per-event breakdown. If you need this for a specific guest, contact support with the guest's registration details and the events in question.
